Purpose of This Policy

This policy defines the official communication standards used by Win Auto Parts for all trade-related matters.

Its purpose is to ensure that all communication is accurate, documented, traceable, and aligned with company procedures.


Official Communication Channels

All official trade communication must be conducted exclusively through the following channels:

Only communication through these channels is considered official and valid.


What Is Considered Official Communication

The following are considered official communication:

  • Messages and updates within the official support portal

  • Emails sent to or received from the official support email address

  • System-generated confirmations and responses

These communications are recorded and maintained for reference and audit purposes.


What Is NOT Considered Official Communication

The following are not considered official communication:

  • Personal phone calls or direct messages

  • WhatsApp, Facebook Messenger, or other social media messages

  • Verbal instructions or informal conversations

  • Messages relayed through third parties

Such communication is not recognized as an official record and will not be used for trade decisions or confirmations.


Documentation Requirement

All trade-related actions must be supported by proper documentation, including but not limited to:

  • Quotation references

  • Order confirmations

  • Invoices

  • Payment slips or transaction references

  • Delivery notes

  • Return or warranty claim records

Actions without documented confirmation will not be processed.


Record Keeping & Traceability

Win Auto Parts maintains records of all official communication and documentation to:

  • Ensure traceability of trade decisions

  • Support verification and audit requirements

  • Protect both trade partners and the company

Trade partners are expected to retain their own copies of relevant documents.


Compliance & Enforcement

Failure to follow this communication policy may result in:

  • Delays in processing requests

  • Rejection of undocumented requests

  • Requirement to resubmit requests through official channels

This policy applies to all trade partners without exception.


Scope & Limitation

This policy governs communication and documentation standards only.

It does not replace:

  • Trade agreements or contracts

  • Official quotations or invoices

  • Legally binding documents
